ERP (Enterprise Resource Planning) is a system that connects business processes like finance, inventory, and orders into one shared database. CRM (Customer Relationship Management) tracks communication, sales opportunities, and the relationship with clients. The difference is focus: ERP manages what happens inside a company, CRM manages what happens between a company and its clients. Many businesses need both, but rarely at the same time.
What does an ERP system actually do?
ERP brings together departments that otherwise run on separate spreadsheets or tools: inventory, finance, procurement, HR, and production. When stock levels change, accounting and sales see it immediately, without anyone re-typing numbers. The goal is one source of truth instead of five spreadsheet versions that never quite match.
What does a CRM system actually do?
CRM tracks everything that happens with a client, from the first inquiry to a closed deal and support afterward. A sales team can see what stage every opportunity is in, who last contacted a client, and what was agreed. Without a CRM, that information usually lives in a salesperson's head, in email threads, or a personal spreadsheet, and disappears the moment that person leaves.
What's the real difference between ERP and CRM?
ERP looks inward, at a company's processes, resources, and operations. CRM looks outward, at the relationship with the market and clients. Some platforms try to do both at once, but usually do one well and the other only superficially. Larger companies often connect both, so a deal closed in the CRM automatically creates an order in the ERP.
ERP, CRM, or both?
A sign you need a CRM: sales slip through because nobody knows who last spoke to a client, or inquiries go unanswered because they were never logged anywhere consistent. A sign you need an ERP: inventory and accounting work off different numbers, or someone manually re-types data between two tools every month. A small business with a handful of clients a month rarely needs both at once. A company that's outgrown spreadsheets across multiple departments usually needs both, connected.
Off-the-shelf or custom-built?
Off-the-shelf tools like HubSpot for CRM or a standard ERP package make sense as long as your process fits their model. The problem shows up when you hit an exception the platform doesn't support: a custom approval flow, a specific report, or an integration that isn't on their list. At that point, the license for the ‘ready-made’ tool starts costing more in workarounds than a system built for your actual process would.
