You define until when cancellation is free, how large the deposit is and what is charged on a no-show, and the system applies that identically to every booking. What matters is that the rules are visible to the guest before confirming, because that is where disputes start.

Double bookings happen when a portal, your own site and a phone reservation keep separate calendars and none of them knows about the others. The fix is that all of them write to the same calendar, usually through a channel manager, with your site as one of those channels rather than an exception. The human factor remains: a booking written on paper and entered in the evening can still create an overlap.

We only have a few units. Is this system too big for us?
