You define until when cancellation is free, how large the deposit is and what is charged on a no-show, and the system applies that identically to every booking. What matters is that the rules are visible to the guest before confirming, because that is where disputes start.

Do we need our own mobile app?

Can we eliminate double bookings entirely?

Once every sales channel reads from one source of availability, yes. Double bookings happen when a portal, your own site and a phone reservation keep separate calendars and none of them knows about the others. The fix is that all of them write to the same calendar, usually through a channel manager, with your site as one of those channels rather than an exception. The human factor remains: a booking written on paper and entered in the evening can still create an overlap.

We only have a few units. Is this system too big for us?

For a handful of units an off-the-shelf tool plus a channel manager handles the calendar and payments more cheaply than anything custom, and your time is better spent on photos, descriptions and how fast you reply to an enquiry.
